Don't Make a Workflow to Send a Notification

PLUS: Email History Insights, First Meeting Booked Date

📢 Announcement: Board Views Available for Contacts & Companies

This has been in beta for a while, and if your account doesn’t have it, I have found that switching to the new theme sometimes triggers these new index pages.

This gives you your lifecycle stages as a kanban board, just like deals.

Tip

Quick fix for a common HubSpot headache.

Email Campaign History Insights
Tired of scrolling through a long list of sent emails to find that one campaign from last spring? With HubSpot’s new Email Properties, you can tag every email by campaign type, audience, or theme.

Once tagged, you can filter and compare emails instantly, no more guessing or spreadsheet detective work. Start with just two properties: Campaign Type and Audience Segment. It’ll transform how you organize your marketing history.

⚠️ Trap

Mistake to avoid before it causes chaos.

Before you set a workflow for a notification, check notification settings
Have you ever really looked into the personal notification settings? There are dozens of checkboxes that can be ticked on or off to receive notifications across channels (Pop-up, in-Browser, Bell, Email).

These checkboxes are split into dozens of categories like tasks, messages, system notifications, form submissions.

Even Hubspot Academy and your knowledge base have their own separate configurations. Very often, this is an easier and less clunky way of setting up a notification.

No hate on workflows, they do the trick. But the workflow itself can get lost in the shuffle, and then the person receiving the notification might not know why, or how to turn it off.

🔄 Try

Something small to test or improve this week.

Create a Synced Property for First Meeting Booked Date
For some strange reason, Hubspot doesn’t include a property that tells you when the first meeting on a contact or deal was booked. This is just another great use for sync properties. Similar ideas include:

  • Last meeting booked

  • Time between first and last meeting

  • Time between contact creation and first meeting booked
