We’ve covered the "Zombie Lead," the difference between Stages and States, and the dangers of Negative Logic. Now, it’s time to clean up the mess.

Here is your 3-step Audit to pay off your logic debt and get this account cleaned up.

Step 1: The "Churned" Hunt

Go into your portal settings and look at your Lifecycle Stage options. If you see "Churned," "Do Not Contact," or "Competitor" mixed in with Subscriber and Customer, you’re going to want to clear that out.

  • Action: Create a custom property called "Contact Status" or "Account Status."

Step 2: The Migration

You cannot simply delete the "Churned" stage without losing data.

  • Action: Create a workflow.

  • Trigger: Lifecycle Stage = Churned.

  • Action: Set "Contact Status" to Churned.

  • Action: Set Lifecycle Stage back to "Customer" (or wherever they were before).

  • Note: Test this on a few contacts and make sure it works before you fire it off to change your whole database.

Step 3: The Negative Logic Sweep

Check in the property settings for any assets in HubSpot that use it. For our example here with Lifecycle stages, you can probably skip over property cards and reports, but its worth checking into filtered views, lists, and workflows.

Review your high-impact workflows (specifically those that send emails or alert sales). Look at the enrollment triggers.

  • Action: If you see Property is none of... or Property is not known, flag it. Rewrite those triggers using Positive Logic (Property is any of X, Y, Z).

Conclusion: Simplicity Scales

The goal of RevOps isn't just to make things work for today. The goal is to ensure they don't break tomorrow when a manager leaves, a new feature is added, or you take a holiday break.

When you untangle your logic, you don't just get cleaner data—you get a system you can actually trust.
