Find and Replace Users in Workflows

This one is a big deal for accounts that are using automation to assign and round robin deals, contacts, companies, and tickets.



Until now, It was always best practice to use team-based assignments so that a new employee didn’t need to be added to a dozen workflows.

And the dynamically populated team lists are still more stable in several ways, but some businesses have logic that is complex enough that the team taxonomy doesn’t cut it.

This new feature allows you to globally replace any user’s workflow assignments and references with another user.

Deal Pipeline Rules

The object settings panels have some of the underrated elements of Hubspot’s built-in automation functionality.

The pipeline rules gives you 5 simple switches for common and practical restrictions that businesses might want on their deals.

And best of all, these are specific to each pipeline you have.

1.Limit deal creation to specific stages
Prevents users from creating deals outside the stages you delineate.

2.Restrict deals from skipping stages
Enforces the often-cited best practice. Deals can only move to the stage directly after it’s current stage.

3.Restrict deals from moving backwards
Pretty self explanatory, and best practice as well.

4.Control deal editing access
Limit who can edit deals in select stages.

5.Add approval process for deals
Deals will require approval once they reach an approval stage.

Set Up Unenrollment for Workflows with Delays

If your HubSpot account is like most, it’s in a fairly constant state of flux. Improvements are being made in one area, as another area remains static and possibly decays in usability or reliability.

You need to build your logic and infrastructure to prepare for future change.

This seems abstract, but the example below shows a real world example.

A workflow that puts a contact in a 6 month delay. Ideally, we are going to put this person on a re-engage list.

But what if, in that 6 months, they unsubscribe? What if they become an opportunity? what if we decide to change this logic in those 6 months.

We can hedge against the exceptions within the current logic AND the future state of the account by narrowing the criteria by which a contact would complete this delay.

The New Account Cleanup Tool

This tool is relatively new, and I’m not seeing it in all portals, but it looks like a pretty powerful toolkit for addressing some of the most common forms of mess in various HubSpot accounts.

    • Segments

Additionally, it will help you put your forms into a folder structure, review forms with low submissions, and address integrations with recent errors.
